Customizing the Waitlist Form
Control what information travelers submit when they join a waitlist, using the Waitlist Form tab in Form Editor.
Choose what travelers tell you when they join the waitlist
Every waitlist entry starts with a form. When the Form Editor add-on and Waitlist are both active, a Waitlist Form tab appears inside Form Editor. That's where you decide exactly which fields show up on the waitlist popup, from the traveler's name and email down to a phone number, address, or a custom field of your own.
Whatever you set up here is what you'll see later when you review a submission. Once a traveler joins, their answers show up in Upcoming Tours → Waitlist Details, ready to check from the eye icon on their entry.
Prerequisites
- You have installed and activated the Waitlist add-on.
- You have installed and activated the Form Editor add-on.
- You have WP Travel Engine updated to its latest version.
Opening the Waitlist Form
Go to Form Editor
In your WordPress dashboard, go to WP Travel Engine > Form Editor.
Along the top, you'll see tabs for each form Form Editor manages: Enquiry Form, Checkout Form, Lead Traveler Information, Additional Traveler Information, Emergency Contact, and Waitlist Form.
The Waitlist Form tab only appears when the Waitlist add-on is active. If you don't see it, check that Waitlist is installed and activated.
Open the Waitlist Form tab
Click Waitlist Form. You'll see the same field table as the other forms: Field Label, Field Name, Field Type, Active, and Action, with a live preview on the right showing exactly what travelers see on the waitlist popup.
Adding a field to the Waitlist Form
You're not limited to the default fields. Click + Add Field on the Waitlist Form tab to add whatever extra field you need, then click Save Changes.
Whatever you add shows up on the Join Waitlist popup travelers see on the trip page, alongside the default fields (Full Name, No. of Travelers, Email Address, Phone Number, Message, and Address).

Changes you make here apply to every trip that uses the waitlist feature going forward, not just one trip.
Where this data shows up
Once a traveler fills in the popup and joins the waitlist, everything they entered, including any field you added, becomes visible to you as the admin. Go to WP Travel Engine > Upcoming Tours, open Waitlist Details for that trip and date, then click the traveler's name or the eye icon next to their row to see their full submission.
